OFFICE MANAGER AND CLIENT RELATIONS

Unlike traditional accounting firms, we only serve small businesses and their owners. All of our clients work with us on a monthly basis, which provides our team with the opportunity to develop long-term, meaningful relationships with small business owners. Because of this monthly business model, our tax season is not as hectic or demanding as other accounting firms. The right person for this role is someone who is motivated by helping their team and small business owners succeed.

How you will have an impact within our firm:

The role of an Office Manager and Client Coordinator in an accounting firm is crucial to ensuring the smooth operation of the office and maintaining excellent client relationships. This position combines administrative responsibilities with client service duties to support the overall functioning of the firm.

Key Responsibilities:

Office Management:

  • Oversee the day-to-day operations of the office, ensuring it runs efficiently.

  • Manage office supplies, equipment, and maintenance to ensure smooth functioning.

  • Organize and schedule meetings, appointments, and events for the firm.

  • Maintain and update office policies and procedures for optimal efficiency.

  • Supervise administrative staff and provide guidance and support when needed.

Client Coordination:

  • Act as a primary point of contact for clients, responding to inquiries and providing exceptional service.

  • Schedule client meetings, appointments, and follow-ups.

  • Assist clients with document completion, data entry, and other administrative tasks as required.

  • Coordinate client onboarding processes, ensuring accurate and timely setup in the firm's systems.

  • Regularly communicate with clients to address their concerns, resolve issues, and provide updates.

Records Management:

  • Maintain and organize client files, records, and documents in compliance with firm policies.

  • Ensure accuracy and completeness of client information, updating as needed.

  • Assist with preparing and maintaining financial reports, statements, and other accounting documents. Collaborate with the accounting team to ensure accurate and timely data entry and reconciliation.

Financial Administration:

  • Assist with basic financial tasks, such as billing, invoicing, and payment processing.

  • Support the accounting team in managing accounts payable and receivable.

  • Coordinate with vendors and service providers to ensure timely payments and resolve billing issues.

  • Assist in tracking and reconciling office expenses and maintaining budgetary controls.

Client Satisfaction:

  • Proactively seek feedback from clients to identify areas for improvement and enhance client satisfaction.

  • Address client concerns and escalate issues to the appropriate personnel as necessary.

  • Strive to exceed client expectations by providing personalized, attentive service.

This position is ideal for someone who has:

  • Associate or bachelor’s degree in business administration, accounting, or a related field.

  • 3 years in office management, client coordination, or a similar role.

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal skills.

  • Proficiency in using office productivity software (e.g., MS Office suite) Word, Excel, PowerPoint

  • Attention to detail and accuracy in handling financial and client-related information.

  • Ability to multitask, prioritize, and adapt to changing priorities.

  • Knowledge of accounting principles and processes is a plus.

  • Professionalism and the ability to maintain confidentiality.

  • Payroll and bookkeeping knowledge a plus

  • Ability to drive to Canton office daily and work primarily in office. (Holly Springs Area)
